Privacy Policy
Choosing a therapist is personal, and so is the information you share along the way. This policy explains what On The Horizon Counseling, PLLC collects through this website, how we use it, and the choices you have.
This Policy and Your Clinical Record
This policy covers the website at othcounseling.org. Once you become a client, the information in your clinical record, such as session notes, intake forms, and billing, is protected by HIPAA and by North Carolina and South Carolina law, and is described in our Notice of Privacy Practices, which you receive and sign during onboarding through our client portal. If anything in this policy conflicts with that notice, the Notice of Privacy Practices controls for your clinical information.
Please Keep Clinical Details Off the Website
Our contact form and email are not secure channels for personal health information, and they are not monitored at all times. Please share only the basics, such as your name, how to reach you, and which service you're curious about. Submitting a form or sending an email does not create a therapist-client relationship. Save the details for your consultation or for your secure client portal. If you are experiencing a mental health emergency, call 988 or go to your nearest emergency room.
Information We Collect
Information you give us: your name, email, phone number, and message when you use our contact form or inquiry forms; your email if you join our newsletter; and your responses if you take the Equity Rate Quiz, which are used to place you in a rate tier and are shared with you and with Deliesha.
Information collected automatically: basic technical data, such as your browser, device type, pages visited, and approximate location, gathered through cookies and similar tools that help the site run and help us understand how it's being used.
How We Use Your Information
We use what you share to respond to your inquiry, schedule consultations, send the newsletter if you've opted in, place you in an equity rate tier, keep the website working, and improve our content. We do not sell your personal information, and we do not use it to market to you beyond what you've asked to receive.
Cookies and Analytics
Cookies are small files your browser stores that help a site function and remember preferences. We use a limited set of cookies and [analytics tool, e.g., Wix Analytics or Google Analytics] to understand which pages are useful and how people find us. You can block or delete cookies in your browser settings, though some parts of the site may not work as well. Because we are a health care practice, we keep tracking on this site to a minimum.
Services We Work With
We rely on a few outside providers to run the practice: Wix to host this website, SimplePractice for scheduling, the client portal, billing, and telehealth, and [email newsletter provider] for the newsletter. These providers process information on our behalf and have their own privacy practices. Where they handle clinical information, such as in SimplePractice, they operate under a business associate agreement as HIPAA requires. We may also share information when the law requires it, such as in response to a valid legal request, or to protect someone's safety.
Virtual Sessions
Virtual sessions across North Carolina and South Carolina are held through SimplePractice's telehealth platform, which is designed for HIPAA-compliant video. We do not record sessions. For your own privacy, we encourage you to join from a private space and a secure internet connection.
How We Protect and Keep Your Information
You can unsubscribe from the newsletter at any time using the link in any email, ask us to correct or delete the website information we hold about you, and manage cookies through your browser. To make a request, reach out through the [Contact] page or by email at info@othcounseling.org. Requests about your clinical record follow the process in your Notice of Privacy Practices.
Children's Privacy
We may update this policy as our practice or the law changes. The date at the top shows when it was last revised. You can review how we approach digital access in our Accessibility Statement.
